Job Function

Provide assistance to reservations and facility managers with details related to the planning and implementation of internal and external rental activities. Assists with operational management of assigned facilities and responsible for on-site supervision of events and EBMS (Ungerboeck) client support through event closure and billing.

Essential Duties Summary

• Supports managers with facility rental sales and gathering of information necessary in the planning, coordination and execution of activities involved in all internal and external events.
• Assists managers by inputting necessary information into EBMS from initial client sales contact through event closure and billing
• Interfaces with internal and external clients in all aspects of sales, customer service and guest relations for assigned facilities
• Assists managers by coordinating and facilitating all aspects of meeting and event planning.
• Assists in managing the facilities
• Meets with clients, staff and students, to coordinate event details
• Provides customer service and technical support to customers
• Assists with event needs, including setting up rooms, furniture, audio visual equipment to meet client specifications
• Serves as the on-site facility representative during assigned events
• Oversees activities and people in the facility
• Assists in the day-to-day operations of the facilities and reports any unusual incidents or problems to the appropriate personnel
• Coordinates and supervises event support staff as assigned
• Opens and secures facilities
• Maintains and provides proper security for the facility’s equipment
• Provides recommendations on building and equipment repair, and special projects
• Explains policies and procedures to clients and the public
• Receives and responds to complaints from tenants and the public
• Enforces health, safety, fire and departmental regulations
• Performs other duties as assigned

SUPERVISION RECEIVED: Reports to the Facility Manager

SUPERVISION GIVEN: Supervise part-time staff

Preliminary Qualifications

EDUCATION/EXPERIENCE: Some college coursework in business administration, facility management or a related field, and experience in operation of a large convention center, hotel, theater or general public use facility equivalent to 2 years.

KNOWLEDGE, SKILLS AND ABILITIES: Must have a demonstrated ability to manage and work effectively with people both as a supervisor and a team member; must have good problem solving and decision making skills; public relations and interpersonal skills; oral and written communication skills; organizational skills; strong personal computer skills including knowledge of Microsoft Office applications; and a commitment to excellent customer service. Must be able to coordinate multiple tasks simultaneously. Must be able to move chairs, tables, and furniture.

Work Hours Must be flexible. To be scheduled by the department as needed, but not to exceed 30 hours per week. Days and hours will vary, but evening and weekend availability is essential. Position may require travel between and off campus.
Position Level 3
Salary $11.2156 - $14.7482 per hour (17-18 salary range)
